ASPC 2023 Advertiser Agreement

This contract states the terms of agreement for digital and in-person advertising for the 2023 Atlanta Self-Publishing Conference (“ASPC”) by and between the Atlanta Writers Club, Inc., (“AWC”) and Advertiser.  The 2023 ASPC will be held at the date, time, and location ("Venue") noted below:

Advertisers completing the form below and remitting payment are agreeing to the following: 


  • To pay the AWC the amount due after all desired advertising selections are made on the form below. 

  • To follow all guidelines below regarding their advertising method(s) of choice. 

  • That the completion of this form and payment of advertising fees to AWC constitutes their agreement to abide by all guidelines, terms, and conditions outlined in this document and expressed to them before or during the event by AWC representatives and volunteers. 


Expiration Dates

After the noted expiration dates, Advertiser ad or logo may no longer be visible as information is updated for the upcoming conference. 

 

Payment

This form cannot be submitted without payment being remitted. 

Please allow up to 10 business days for your ad to go live on the website, our social media profiles, or the event program after both your payment and your graphics have been received. 

For printed program placement, all payments must be made and correctly sized promotional graphics submitted by February 1st, 2023. 

Any materials submitted after this date will only appear digitally, as space and time allow.  


In-Person Advertiser Table Guidelines


  • Advertiser will be provided with one six-foot (6’) wide skirted table and two (2) chairs to use for display and promotional purposes. 

  • Advertiser will be provided with a username and password to access the Venue internet connection.  

  • Access to electrical outlets will be on a first come, first served basis. Advertisers may not run any extension cords from beyond the six-foot table area.  

  • Advertiser may use tabletop displays only. 

  • Advertiser may not set up banner stands, easels, or any other displays that extend beyond the six-foot table area.  

  • Advertiser tables will be set up in an open atrium area or other location as determined by AWC and Venue.  

  • Advertiser hours will be from 8:00 a.m. until 7:00 p.m. Advertisers may set up beginning at 7:30 a.m.

  • Advertiser space will not be secure. Advertisers are encouraged not to leave their tables unattended during the day. 

  • AWC assumes no responsibility for loss or damage to Advertiser property. 

  • Advertiser shall indemnify AWC and Venue from all claims of loss or liability caused by Advertiser or Advertiser team members. 

  • Advertiser agrees to allow AWC to use (now and in the future) photographs and videos captured at ASPC that may include Advertiser property and team members. 


Promotional Graphics Guidelines 

  • Advertiser graphics will not include inappropriate images or language. 

  • Advertiser graphics must include at least these two elements: [1] the Advertiser’s business logo and [2] one piece of Advertiser contact information (email address, phone number, website, etc.).

  • Advertiser graphics will have a resolution of no less than 300 dpi, be appropriately sized based on the type of advertisement purchased, and be submitted as either .png or .jpg files. 


 

Swag Bag Promotional Items (Sponsors & Full-Page Ad Advertisers)

  • Advertiser agrees to provide at least 150 units of at least 1 physical promotional item such as pens, notebooks, or mugs at no charge to the AWC. 

  • Swag bag promotional items should be small enough to fit into or be clipped onto swag bags. 

  • Swag bag promotional items should be no larger than 10 inches tall by 4 inches wide. 

  • Swag bag promotional items should weigh no more than 8 ounces / 0.5 pounds.

  • Swag bag promotional items should not include perishable foods, combustible or flammable substances, toxic chemicals, or common allergens and irritants such as tree nuts or perfumes.   

  • Swag bag promotional items should not include inappropriate images or language. 

  • Swag bag promotional items must include at least these two elements: [1] the Advertiser's business logo and [2] one piece of Advertiser contact information (email address, phone number, website, etc.).

  • Swag bag promotional items must be delivered to the ASPC via the delivery methods outlined in the Advertiser confirmation (sent after payment is received) before or on April 1st, 2023. Any items delivered after this date will have no guarantee of being included in the swag bags. 

 

Advertiser General Guidelines 

  • Advertiser agrees to pay the sum of their desired ads in full before any advertisements are placed.

  • Advertiser agrees to only promote companies, products, or services they have the authority to promote. 

  • Advertiser agrees to behave in a safe, ethical, and legal manner with any attendees who contact them for services or products.

  • Advertiser understands that they will not be provided any attendee contact information as part of their advertising purchase. Attendees must voluntarily reach out to the Advertiser as they are comfortable doing so. 

  • Advertiser shall indemnify AWC from all claims of loss or liability caused by Advertiser or Advertiser team members. 

  • Advertiser agrees to allow AWC to use (now and in the future) photographs and videos captured at ASPC or created to promote ASPC that may include Advertiser property and team members.

  • a full-page ad (8.5” wide by 11” tall, portrait) in the digital and physical event programs

    Advertiser logo placement on the ASPC website and select printed ASPC materials

    a social media and ticket holder newsletter announcement of the Advertiser’s sponsorship of the event

    up to three (3) Advertiser promotional items to be included in the conference swag bags for attendees (based on AWC approval)

    an Advertiser mention on select digital promotions on the ASPC YouTube channel (at AWC discretion)

    an Advertiser mention during the formal welcome on the day of the conference

  • a table to sell items and services or provide information directly to attendees at the event

    a single ticket holder newsletter mention within the next available normal newsletter communication

    Advertiser logo placement in the “Vendors” section of the ASPC website

    Expires May 1st, 2023

  • a full-page ad (8.5” wide by 11” tall, portrait) in the digital and physical event programs

    a single ticket holder newsletter mention within the next available normal newsletter communication

    one (1) Advertiser promotional item to be included in the conference swag bags for attendees

    Expires May 1st, 2023

  • a half-page ad (8.5” wide x 5.5” tall, landscape) in the digital and physical event programs

    a single dedicated posting of the ad on the ASPC Facebook event page

    Expires May 1st, 2023

  • a business card sized ad (3.5” wide by 2” tall, landscape) in the digital and physical event programs

    Expires May 1st, 2023
